Case study · Car Rental Company

RevyCar Rentals

We run a car rental company in Revelstoke, and it runs itself: the AI on our phones looks up reservations, books, takes payment, texts a GPS pin to your vehicle and unlocks it — and nobody stands at a counter. Same stack we sell — here are our own numbers.

Revelstoke · Year-round · Our own business — real figures from our own books, stated approximately.

This one is real. RevyCar is our own rental company in Revelstoke — same owner, same builders. The figures below are our actual numbers, from our own books, stated approximately. The sample calls are recreations written to the pattern of calls our line really takes — not recordings. The other ten studies are illustrative composites and say so; this is the one we can show you running, live.

The day this happens

The rental line rang while we were somewhere else

We ran RevyCar the manual way first, the way most small rental outfits do: a phone, a calendar, a card machine, and a person expected to be near all three. On paper that's fine. In practice the phone rang while we were on a handover in the parking lot, or halfway under a server rack across town — because the same people run the IT shop — or in the evening, well after anyone would sensibly be standing at a counter.

Every one of those calls was a booking at risk. A visitor who needs a vehicle for the weekend doesn't leave a voicemail and wait; they scroll to the next option. And the counter itself was the quiet expense underneath it all — the hours somebody would have to stand there answering the same handful of questions, taking the same payment, printing the same paperwork, on the chance that the phone rang.

So we were the obvious test bed, because we needed it ourselves. We built RevyCar the system we'd want to sell: an AI receptionist on the line, a booking flow a customer can finish alone at any hour, and the plumbing to make the booking, the payment and the paperwork one thing instead of three. If it hadn't worked, you'd never have heard about it.

What we built

The second brain for this business.

The same three pieces we'd build for any rental or hire business — running our own company, every day, since before we put it on this website.

  • AI Receptionist — answers the rental line day and night, looks up reservations, books directly into the rental system and takes payment on the call — or texts the booking link — and hands off to a human when a call actually needs one.
  • Workflow Automation — runs the rental end to end without a counter: self-serve booking, pickup by GPS pin and remote unlock, and a return that closes itself — condition photos uploaded, paperwork done, confirmations fired on their own.
  • Custom API & Systems Integration — keeps booking, payment, paperwork — and the vehicles themselves — talking to each other: GPS locate and remote lock/unlock wired in, so a rental is one record moving through one system instead of three things somebody retypes.

The artifact

The artifact: a rental that never needed us — booking to pickup

The star of the study — the same standard as the AI Receptionist sample call, written out line by line.

Caller Hi — I'm looking for an SUV for the weekend. Have you got anything?
RevyCar AI Hi, you've reached RevyCar Rentals — I'm the AI assistant on this line, and I can put you through to a person if you'd rather. Happy to help with the SUV. Which days are you thinking?
Caller Friday to Sunday.
RevyCar AI One second — checking those dates. Yes, I've got SUVs free Friday to Sunday. Two ways to do this: I can book it for you right now on this call, payment and all, or I can text you the booking link so you can see the vehicles and rates and pick one yourself, at whatever hour suits you. Which would you rather?
Caller Text me the link — I'd like a look at them. It's 250-555-0163.
RevyCar AI Sending it now. It'll come from RevyCar, and it goes straight to Friday–Sunday availability. Anything else I can answer while you've got me — pickup, insurance, anything like that?
Caller No, that's great. Thanks.
RevyCar SMS RevyCar Rentals: here's your booking link for Fri–Sun → revycar.ca — pick your vehicle, pay, and your pickup details come straight back to you. Reply here if you'd rather talk to a human.

The caller booked from the link that evening — vehicle, payment and pickup, all self-serve. No human was involved at any point. The first we knew of it was a completed booking sitting in the system the next morning.

RevyCar rental line · Saturday, pickup day Recreated — written to the pattern of real calls; not a recording

Saturday · pickup daystill nobody at a counter.

Caller Hi — I booked for this weekend. I'm in the lot… which one's mine?
RevyCar AI Welcome back — found your reservation. I'm texting you a GPS pin now; it drops you right at your vehicle.
RevyCar SMS RevyCar Rentals: your vehicle's waiting → tap the pin and it'll walk you to it.

A minute later, still on the line —

Caller Okay, I'm standing next to it.
RevyCar AI One second… and it's unlocked. Everything else was done when you booked — payment, paperwork, the lot. Have a great weekend.

At the end of the weekend, the return ran the same way: the system walked the drop-off, the condition photos went straight in, and the rental closed itself. No counter at pickup, no counter at return.

The outcome

What changed — in real figures.

These are real figures — ours, from our own books, as of mid-2026, and stated approximately. This is the one study on this site where the "after" column isn't an estimate.

Before After (real, approximate)
About $200 USD a month in software subscriptions $0 — replaced by the integrated system we built
A front counter's phone work, worth about $2,500 a month a counter we don't staff — the AI line and the self-serve flow do that work: roughly 20 hours a week we never have to cover
After-hours calls went to voicemail answered — and the bookings complete themselves

We'll show any business the actual system running — the line answering, the booking landing finished, the car unlocking from the call — rather than slides about it. Just ask on the free call.

Transparent pricing

What it costs to start.

If you wanted this for your business, it's two builds: the AI Receptionist on the line, from $3,500, and Custom API & Systems Integration, from $5,000, to make booking, payment and paperwork one system — with the self-serve Workflow Automation around it, from $2,500, sized to whatever booking tool you already run. Those are starting floors from our published pricing; your number is fixed-quoted after a free assessment, so you know it before you commit. Every build requires a Care Plan, from $299/mo.

Prefer to talk now? Call (236) 837-3550 — our own AI receptionist picks up, 24/7. Yes, the same one we sell: consider the call a live demo. It books, answers, or takes a message — and a real BC-based human follows up within one business day, usually faster.
