The business case

The form is only part of the cost.

Chasing missing cards, retyping details, filing records and finding them again all take paid time from the crew and office.

Put the time where it earns.

Give foremen more time on site and the office more time for scheduling, billing and job follow-up.

Measure the benefit.

Measure crew, foreman and office time together. Deduct any new review steps, Care and software costs. The calculator below lets you model that trade-off.

Our six-month payback guarantee

The goal is payback.
We stay accountable for it.

We scope qualifying projects for payback within 3–6 months. If agreed savings have not covered our setup and management fees by month 6, we waive management fees and keep improving the system until they do.

We agree the baseline, the work being automated and the way to measure it before you commit. The clock starts at the agreed go-live date.

How the guarantee works

Agree the numbers first.

Your written proposal sets the scope, current workload, labour rate, outside costs and measurement plan. Qualification is based on your workflow and quote, not the examples on this page.

Count real work saved.

We compare the baseline cost with the remaining human work, outside bills and added software or usage costs. Each hour and cost is counted once. Time is valued at the agreed labour rate; extra sales are not assumed.

Review progress together.

We review the figures monthly and check cumulative value at months 3 and 6. Payback means that measured value covers the setup and management fees paid. Freed staff time counts as capacity value, not an automatic payroll cut.

Our fees pause if we fall short.

If the target is not met by month 6, management fees stop from month 7. We continue improvements within the agreed scope at no extra service charge until payback. Third-party software, usage and applicable tax remain payable; new scope is quoted separately.

The guarantee applies to projects with an agreed baseline and measurement plan in the written proposal. Keep the agreed workflow in use and make the records available so progress can be checked. This is a fee-waiver commitment, not a promise of a fixed cash saving or a refund.

From the site to the office

Keep work moving. Keep the paperwork together.

Make it easier for the crew to submit a form, the foreman to spot a gap, and the office to find the record.

More than a digital form

The value is in the follow-through.

Completing a card is one step. Getting it reviewed, filed and back in front of the right person is the rest of the job.

01

Capture on site.

A practical phone flow, shaped around your approved paperwork and the details the crew actually needs to provide.

02

Review with context.

Route the record to the foreman. Keep questions, signatures and open follow-ups distinct.

03

Keep the record.

Organise records by job. Preserve the original when a correction creates a revised version.

04

See what’s next.

Give the office a useful daily view of records and the handoffs still needing attention.

Put a value on the repeat work

What would getting
that time back mean?

Start with the time your office spends chasing, sorting and finding forms. Then make a conservative assumption about what a better workflow could recover.

This is a planning estimate, not a measured customer result or a promise of savings. Recovered capacity is not automatically a payroll reduction.

Include any added worker, foreman and office time in extra handling. The simple model uses one blended hourly cost.

Add quoted costs (optional)

All three fields are required for the cost comparison. Enter 0 where a cost does not apply.

Start focused. Build from there.

Your paperwork is
the starting point.

We map one useful workflow, configure the forms and handoffs, then run a supported pilot with your team.

01

A defined setup

Forms, roles, sites, Microsoft 365 filing, training and acceptance, scoped before the build.

02

Ongoing care

Support and agreed maintenance as your team uses the system. Clear recurring and usage terms.

03

Room for the next workflow

Extra-work tickets, photos and billing handoffs are potential next modules, scoped separately.

A few practical questions.

Do we need to replace our safety program?

No. The workflow is configured around your approved forms and processes. Your safety lead owns the content and the decisions about how it is used.

Does this guarantee compliance?

No. Forms Flow supports paperwork, records and follow-up. It does not certify a site, decide that a hazard is safe or replace your safety responsibilities.

Can we use our existing Microsoft 365 environment?

That is the starting integration path. We assess the folders, permissions and review process during scoping, then validate them in the pilot.

Is this ready to buy off the shelf?

Forms Flow is offered as a scoped managed setup and supported pilot. Each rollout needs agreed scope, tested integrations and customer acceptance before going live.
