AI Receptionist
Every missed call is a job that just walked next door.
You can't answer the phone up a ladder, mid-job, or at 9pm on a Saturday — and voicemail doesn't book work. RevyTech AI builds you an AI receptionist that picks up every call, answers the usual questions, books the job into your calendar, and texts you the ones that need a human. No more voicemail graveyard. No more lost work.
Built around your business · Answers 24/7 · Books straight into your calendar · Texts you anything urgent · Always tells callers it's an AI, always offers a human.
What it does
A receptionist that never misses, never sleeps, never quits.
Answers every call.
A friendly, on-brand AI voice picks up on the first ring — during the lunch rush, the ski-season surge, and long after you've gone home. It answers the questions you're tired of repeating: hours, location, pricing ranges, "do you do X," "are you open." No caller sits in voicemail.
Books the job.
It checks your real availability and books appointments straight into your calendar or scheduler — Jane, Acuity, Housecall Pro, Google or Microsoft calendar, and more. The booking is done before the caller hangs up, not sitting in a message you'll get to later.
Texts you what matters.
Real emergency? VIP client? Something outside its lane? It texts you (or the right staff member) instantly with the details, and can warm-transfer a live call to a human. You stay in the loop on what counts and ignore the forty routine calls.
Covers after-hours.
Evenings, weekends, holidays, the 2am "are you open tomorrow." The calls that used to vanish now get answered and booked — which in a resort town is often the difference between the job being yours or the next shop's.
Also handles: SMS conversations and text-back on missed calls, spam and robocall screening, bilingual EN/FR, call routing across staff or locations, and appointment reminders (paired with Workflow Automation).
Not plug-and-play
Built around your business, not a script with your logo on it.
The plug-and-play answering apps all start from the same place: a generic bot, a settings page, and the rest is up to you. Ours starts from your business — and the difference shows up on the first call.
Your voice, your tone.
You choose how it sounds — the voice, the greeting, how casual or how buttoned-up — and you approve every word of the greeting and the boundaries before it ever picks up. It answers the way your best front-desk person would, on every call.
Your questions, your answers.
In discovery we capture the questions your callers actually ask — prices and ranges, service area, "do you do X," "are you open" — and write the answers with you. Not a generic FAQ with your name pasted in; your knowledge, worded your way.
Trained to solve problems, not just take messages.
People call because something's wrong. We train it on the problems your customers bring — what to ask, what advice it's allowed to give, when to escalate — so a burst-pipe call gets the shut-off-valve tip and an instant text to you, not a voicemail box. The tip in the sample call below is trained in, not improvised.
Tested against your scenarios.
Before it answers a single customer, we run it through the calls your business actually gets: the 9pm emergency, the price shopper, the reschedule, the caller on a windy job site. We tune until it handles them — and the Care Plan keeps tuning as new ones show up.
And it all stays inside rules you set: it never invents a price, never gives advice you haven't approved, and anything outside its lane goes straight to a human. That's the difference between customized and improvised.
How it sounds
Natural, not robotic. And it says it's AI.
Here's a real-shape after-hours call for a plumbing company. Notice it discloses up front, answers plainly, books the job, and flags the emergency to a human.
Audio sample: Placeholder [play a real recorded sample once approved — with transcript for accessibility]. Every greeting and boundary is designed with you: what it says, what it books, and exactly when it rings a human.
Transparent pricing
Starting at $3,500 to build. From $299/mo to keep it sharp.
We quote a fixed price before we start — no hourly meter, no surprise bill. A single-line shop with a simple booking flow sits near the $3,500 floor; a multi-location or multi-provider setup with CRM sync and reminders runs up toward $8,500. We'll give you the real number after a 20-minute call.
- AI Receptionist — build
- Starting at $3,500 (typical range $3,500–$8,500, fixed-quoted to your setup)
- Care Plan — keep it running
- Required, from $299/mo (Core). Voice systems usually sit on Growth so tuning stays funded — we'll recommend the right tier.
- Payment terms
- 50% to start, 50% at go-live (builds under $10,000).
- Usage
- Phone minutes and AI usage pass through with a monthly allowance included, itemized on every invoice — never marked up in secret.
Why the monthly matters: A voice system isn't "done" at launch — accents, background noise, new questions and edge cases need ongoing tuning. That's what the Care Plan pays for. It's the reason ours keeps working when a set-and-forget tool would drift. Full plan details on the pricing page.
How it stacks up
Answering service, cheap AI app, or this?
All three can answer your phone. They're genuinely different products — here's the straight version, including where the others actually win.
| Feature | Human answering service | Off-the-shelf AI app | RevyTech AI's AI Receptionist |
|---|---|---|---|
| Answers 24/7 | Yes (staffed) | Yes | Yes |
| Where it's genuinely good | A real human voice; handles the truly unusual call well | Cheap and fast to switch on (often ~US$49/mo) | Built for your business, integrated, and maintained |
| Knows your business | Reads a script; shallow | Generic out of the box; you train it | Trained on your FAQs, prices, and rules |
| Books into your systems | Rarely — usually takes a message | Basic calendar link at best | Yes — your scheduler, calendar, CRM |
| Who keeps it working | Them, but you can't tune it | You do, on your own time | We do — monitoring + optimization hours |
| Real cost | Per-minute/per-call fees add up fast at volume | Cheap monthly, but shallow and unsupported | Fixed build + one care plan; usage at cost-plus |
| When it breaks | Call centre queue | Support ticket into the void | A real person in BC who built it |
Honest takeaway: If you want a human on every call and volume is low, an answering service can be a fine fit — we'll tell you so. If you're technical and just need a bare-bones after-hours catcher, a $49 app might be enough. RevyTech AI is for the owner who wants it to actually fit their business, connect to their systems, and have someone accountable keeping it sharp — without spending their own scarce hours on it.
Works with what you've got

We build on top of your existing stack — no rip-and-replace.

- CRMs: HubSpot and others — new callers become contacts automatically.
- Notifications: instant SMS to you or the right staff member; warm transfer to a live phone.
- Messaging: two-way SMS and missed-call text-back.

Don't see yours? Ask on the assessment call — if it has an API or a supported connector, we can almost certainly wire it in.
Go-live in 2–4 weeks
From "yes" to answering calls in about a month.
Week 1
Discovery.
We map your call flow, capture your top 20 questions and answers, design the greeting and voice, and set the rules for when it rings a human. Your time: about an hour.
Weeks 1–3
Build.
We provision the line, build the conversation flows, connect your calendar and CRM, and set up spam screening and routing.
Weeks 2–3
Testing.
Scripted and live test calls, accent and background-noise handling, edge-case tuning, mis-hear recovery. You place a few test calls and sign off.
Weeks 3–4
Training & go-live.
A 60-minute staff session (how handoffs land, how to read the call log, how to tweak an answer), then a supervised go-live with same-day fixes. Then the Care Plan takes over — monitoring, tuning, and your monthly report.
Total client effort: about 2–3 hours across the whole project. Medium at the FAQ stage, light after that.
Questions
AI receptionist FAQ.
Will my callers know it's an AI?
Yes — always, up front. Our AI receptionist introduces itself as an AI assistant at the start of the call and always offers to get a human. We do this on purpose: most people are fine talking to AI when it's honest and helpful, and it's honesty — not a fake human voice — that keeps their trust. Pretending to be a person is how you lose a customer when they figure it out. Disclosure and an easy human handoff are built into every deployment (and it keeps you onside with Canadian privacy and consent rules).
What happens with a real emergency or a call it can't handle?
You set the rules. Anything urgent, unusual, or outside its defined lane gets an instant text to you or the right staff member with the caller's details, and it can warm-transfer a live call to a human. It never guesses at something it shouldn't — no made-up pricing, no advice it isn't allowed to give.
Does it sound like a robot?
No — it's a natural, conversational voice, and you approve exactly how it sounds and what it says before it goes live. We test it hard against real accents and background noise, and the Care Plan keeps tuning it. (Have a listen to the sample above.)
How is this different from a $49 plug-and-play answering app?
The cheap apps are generic by design: you sign up, get a default bot, and the training, integrating and upkeep are yours to figure out, on your own time. Ours is built around your business — your voice and tone, your questions and answers, trained on the problems your customers actually call with, and tested against your real scenarios before it goes live. Then we keep tuning it every month under the Care Plan. If a bare-bones after-hours catcher is honestly all you need, we'll tell you — but when the calls are worth real money, generic is the expensive option.
How much does it cost, really?
Builds start at $3,500 and are fixed-quoted before we begin (a typical range is $3,500–$8,500 depending on lines, locations and integrations). Every build includes a Care Plan from $299/mo to keep it running, plus phone/AI usage at cost-plus with an allowance included. We give you the real number after a free 20-minute call. Full detail on the pricing page.
Will it work with my calendar and phone number?
Almost certainly. It books into Google, Microsoft, Jane, Acuity, Housecall Pro, Calendly and others, and we either provision a new line or port/forward your existing number. If your setup is unusual, we confirm it in discovery before you commit.
What if it books something wrong or gives a bad answer?
That's exactly what the "maintain" half is for. We monitor calls, review the log, and use the Care Plan's optimization hours to fix edge cases and improve answers every month — plus low-confidence situations are designed to hand off to a human rather than wing it. This is a maintained system, not a launch-and-hope app.
Is my callers' information handled safely?
Yes. We're PIPEDA and BC PIPA aware by design, with a data-processing addendum in every contract. Where call data is processed by third-party AI or telephony services, we disclose that up front — not buried in a terms-of-service nobody reads. A Canadian point of contact, not an offshore ticket queue.
Am I locked in?
The Care Plan has a 6-month minimum (voice systems genuinely need a few months of tuning to get great — we stay on the hook for that), then it's month-to-month. The line and integrations connect to systems you own, and we hand over documentation. It's a promise to stick around while it beds in, not a trap.
